Diagnostic Lab / Specimen Collection Center
Cold Call โ€” ~150 words
Hi, may I speak with whoever handles your courier or logistics contracts? [If connected:] Hi, my name is [Your Name] with [Your Company Name]. I'll keep this quick โ€” I know you're busy. We specialize in medical courier runs for labs and specimen collection centers in [Your City/Region]. What we do differently is strict chain-of-custody documentation on every pickup, guaranteed STAT response times, and we've never missed a scheduled pickup window in [X months/years] of operation. I know a lot of labs find out their courier dropped the ball only after a specimen is lost or a result is delayed. Our whole model is built around making sure that never happens on your end. I'm not asking for a contract today โ€” I'd just love 5 minutes on a call, or I can drop off a one-page capability statement at your front desk. Which works better for you?
Hospital / Health System Supply Chain
Cold Call โ€” ~150 words
Hi, could you connect me with Materials Management or your Supply Chain department? [If connected:] Hi, my name is [Your Name] with [Your Company Name]. I'll be brief โ€” I work with hospitals in [Your Region] on medical courier coverage, and I wanted to reach out directly because supply chain disruptions in healthcare logistics are a bigger problem than most administrators realize until it's too late. We offer HIPAA-compliant transport for supplies, equipment, and documents, and we work specifically as a backup coverage provider for facilities that want a secondary courier on standby โ€” no retainer required, just a rate card and a call. We're fully insured, background-checked, and trained in safe transport protocols. I'd love to get 15 minutes with you and the materials management team to walk through what we offer. Would sometime this week or next work for a brief meeting?
Physician Practice / Clinic
Cold Call โ€” ~120 words
Hi there, my name is [Your Name] with [Your Company Name]. I'm a local medical courier and I run specimen pickups for clinics and practices in [Your Area]. I do scheduled daily pickups โ€” same time, same driver, every day โ€” so your staff knows exactly when we're coming and never has to chase down a courier. We handle specimens, lab orders, and inter-office documents. A lot of practices I work with had trouble with missed or inconsistent pickups before switching. I can be really flexible on timing to match your draw schedule. Would you be open to a quick 15-minute call with your office manager, or I'd be happy to come by in person to introduce myself and do a no-obligation trial run?
Pharmacy / Retail Pharmacy
Cold Call โ€” ~120 words
Hi, my name is [Your Name] with [Your Company Name]. I work with pharmacies in [Your Area] on medication delivery and transport โ€” and I wanted to reach out because patient-facing delivery reliability is something a lot of pharmacies are looking to improve. We handle temperature-sensitive transport, maintain full chain-of-custody documentation, and we work within compliance requirements for medication transport in your state. Every delivery gets a signature confirmation, and you get same-day confirmation records. We're not here to replace your current setup โ€” we'd love to run a pilot week so you can see what working with us looks like on a real schedule. Would you be open to trying us for one week, no commitment?

3 Gatekeeper Bypass Phrases

Use these to get past receptionists and assistants to the decision-maker
  1. "Could you point me toward whoever manages your courier or logistics contracts? I just want to make sure I'm talking to the right person."
  2. "I'm not trying to sell anything today โ€” I just want to introduce our service and see if there's a fit. Who would be the best person for a quick two-minute conversation?"
  3. "I know [decision-maker's name] is likely busy. Would it be okay if I sent a one-page overview to their email and followed up next week?"
  4. "I've been working with a few other facilities on [Your Street / in your zip code] โ€” is there someone in operations or supply chain I could speak with for just a moment?"
  5. "I'm local โ€” based right here in [City]. I'd be happy to come by in person if that's easier. Who should I ask for when I stop in?"
  6. "Would it be alright if I left my card and a short capabilities summary? I'd love for [department head] to have it when they have a moment."
  7. "I completely understand if now isn't a good time. Is there a better time of day or day of the week to reach [Name/the right person]?"
  8. "I'm not trying to replace anyone โ€” we mostly work as backup coverage for busy periods or when a primary courier can't make a run. Is there someone I can mention that to briefly?"
  9. "We work with several labs and clinics in [Area]. I just want to make sure [Facility Name] knows we're available if they ever need us. Who handles those kinds of vendor conversations?"
  10. "I promise I'll keep it under two minutes. I just want to make sure the right person has our number for when they need it. Can you help me with that?"

4 Objection Handling

We already have a courier.
That's great โ€” most facilities do. We actually work best alongside an existing courier as a backup option for when your primary can't make a run or you have overflow volume. There's no retainer or commitment โ€” you'd only use us when you need us. Would it be worth having our number on file just in case?
We're not interested.
I completely understand โ€” I'm not trying to push anything. Would it be okay if I just sent over a one-page overview so you have it if anything changes? Courier reliability issues tend to come up unexpectedly, and I'd rather you already know who to call. Takes two seconds to delete if you never need it.
Send us an email / send information.
Absolutely, I'm happy to do that. Can I grab your email or the best address to send it to? And just so I can make it relevant โ€” is your biggest need right now specimen pickups, supply deliveries, or STAT runs? I'll make sure the information I send matches what actually matters to you.
We use a contracted service.
Totally makes sense โ€” contracted services are common. A lot of our current clients have a contracted primary and still keep us on as a secondary for situations where the contracted service misses a window or can't accommodate a last-minute run. I wouldn't be asking you to change anything, just to have a fallback. Is that something worth a 5-minute conversation?
Call back in a few months.
Of course โ€” I'll make a note to follow up in [specific month]. Is there a best time or person to ask for when I call back? And in the meantime, would it be alright if I sent a quick email with our contact info so you have it on hand? That way if something comes up before then, you don't have to go looking for us.
